Appointment Management System is an easy to use customer/employee scheduling tool. This system replaces appointment books that are often hard to read and impossible to manage. Before You Begin

Before you begin using Appointment Management System you should analyze your current system and information used in it.  Hours of Operation and Holiday Hours will be input into the system.  Task assignment descriptions and codes as well as default times to perform the described tasks can be transferred and modified in this program,  Employees and their work schedules (e.g. start and quit times, lunch times and scheduled days off) will also be necessary.  This system conforms to your specific needs.  There are no default settings. If this information is available before you start configuring Appointment Management System, setup will be a snap!

To install and to use Appointment Management System requires specific system, hardware, and memory configurations.

* Appointment Management System requires approximately 1.5 MB of hard disk     space to hold up to two years of appointments.  
* The following statement must be present in your config.sys file for AMS to   operate  install=c:\dos\share.exe. Refer to Appendix A for modification      instructions.
* To modify the AMS.BAT file to allow you to go directly to the Actual       Schedule on start up refer to Appindix A

Installation Procedures

To use Appointment Management System, you must install the software on your hard drive.

1 Insert the Appointment Management System disk in drive A or your designated   3.5' floppy drive.

2 Exit out of any programs you may be running

3 Type Install C: \AMS and press Enter and follow the instructions on your     screen.  To insure correct installation make sure that there are 2 spaces    between C:\ and \AMStype ams.bat and press Enter.

Operating Times
 
Telling the program what times you are open is the first most important step you'll be taking.  Operating Times is the only step you will see with a default template.  These times can be changes by simply typing over them.  Please note that times can be enterd using clock time or military time, AM and PM after the entry are necessary no matter which method you use.  To register a Closed Day you would enter "N" in the "Open?" catagory then you must enter 00:00 in "Start" category and 00:00 in the "End" category for that particular day.

Employees
 
To enter the Employees menu refer to the navigational instruction page.  Planning is necessary before entering employees.  AMS looks at the first character on the CODE line to determine where to place that employee on the screen, five employees fit across one screen.  Numeric or alphabetic characters can be used here.  This is best described by example:

Numeric
1-Bob  2-Barry  3-Ellis  4-Jacob  5-Adam
This would be the sequence of names on the first screen using the numeric configuration.

Alphabetic
Adam  Barry  Bob  Ellis  Jacob
This would be the sequence of names on the first screen using the alphabetic configuration.

Next, enter the FIRST and LAST name,then by the START DATE (the date must be entered using the following format 00/00/0000) enter the date this employee became active or will become active.  When an employee resigns from your organization a TERM (Termination) DATE can be entered to prevent scheduling appointments for this individual after he of she has vacated the position.

NOTE: Before entering a TERM DATE for an employee, reschedule all appointments beginning with the last day of their tenure.  If you do not, all appointments for this employee beginning with the TERM DATE you intend to enter will be permanently lost!

Job (Task Assignment) Codes

Job Codes or Task Assignment Codes allows you to enter procedures that are constants in your industry.  These codes will be used to configure employee work schedules in the Master Schedule.  In the Actual (Daily) Schedule, these codes become the appointment identifier.  If you currently do not have a list of these procedures it would be a good idea before entering codes and descriptions to make a list.  It should include the description of the task and how long it usually takes to complete.  If the time to complete varies, leave the default time blank.  These codes can be entered using the Job Code Maintenance menu or can be added within the Master Schedule module or the Actual (Daily) Schedule module.  It is recommended however to enter all codes during the initial setup process.


To enter a Job Code go to the Job Code Maintenance screen (refer to Program Navigational Chart).

Code:		Limit 4 characters
Description:	Limit 26 characters
Default Time:	No data entry is required
Color:		Enter color for this code
Master?:	Enter 'Y' or 'N',data entry is required (refer to Master 		Schedule and Daily Schedule descriptions for more 		information)

When finished press <PgDn>to save the entry.

Entering a new Job Code when in the Master Schedule or Actual Schedule is accomplished in the following manner:
* Enter an appointment, use the procedure explained in Chapter 4 Scheduling, * Enter a Job Code for the task you want to add.  If the Job Code you entered is not recorded in the Job Code file the Job Code Selection screen pops up.  The function of this screen and the Job Code Maintinance screen are   identical,  All of the program functions for both screens are the same and   available to you.  After entering the new Job Code press <PgDn>.  This   places the new Job Code in the appointment you are creating.  Press <PgDn>   again and this places the appointment in the schedule.

Holidays

To enter the Holiday schedule go to the Holiday Maintenance screen (refer to the Program Navigational Chart).

Date:		Enter the date of the holiday
Description:	Enter a description for the holiday
Open?:		Enter'Y' or 'N'
Open Time:	Enter only if you entered 'y'
Close Time:	Enter only if you entered 'y'

When finished with your entry press <PgDn> to save.

Master Schedule

The purpose of the Master Schedule is to create a template for scheduling appointments.  This schedule will automatically reflect the Hours of Operation, Days Open and Closed, and Holidays.  To tell the system when your employees are availabe you will need to enter their work schedules.  Fill in the off times with an "OFF" Job Code and schedule their lunch times with a "LNCH" Job Code.  Before you begin you must follow the instructions in Chapter 3, Set Up Procedures.

To begin go to the Master Schedule (refer to Program Navigation and Feature Chart) place the first cursor (indicated as <> far left side of screen) on the time you want the action to begin, then place the second cursor (indicated by <           >) under the employee to be scheduled.  Press <Enter>, enter code to be used, if you can't remember press <Enter> and the Job Code Selection screen will pop-up, select the code you want by highlighting it, then press <Enter> to accept it.  This will place that Code in the Appointment Screen, <PgDn> places the appointment in the schedule.  Remember that in order to use a Job Code in the Master Schedule you must have selected "Y" at the "Master?" category when creating the Code.  If you did not, you may modify the Code by either using the Job Code Selection screen or going back to the Job Code Maintenance screen and modify the Code there.

After you have your employee schedule assembled for one complete day you may use the C=Copy Day function.  This allows you to copy this schedule from one day to another.

When employee scheduling is completed, if you require a hard copy use the S=Schedule function to print.  This will only print the day you are looking at so if you need a hard copy for the week you will need to go to each day and repeat the procedure.

When you are finished assembling the weeks schedule you must apply the schedule to dates of operation.  To do this press <Esc> while in the Master Schedule, this brings up the Apply Master Schedule screen.  Follow the instruction on this screen, the default number of days the system will apply is 15, you may accept this or modify the dates as you wish.  The most number of days that can be applied at one time is 90.

Actual Schedule (Daily Schedule)

The actual Schedule is where you will place appointments for your employees. Before you can use the Actual Schedule you must complete the set up procedure in the Master Schedule.

To enter an appointment, position the first cursor (<     >) under the employee and press <Enter>.  Enter a Code or press <Enter> to select a Code from the Job Code selection menu by highlighting it.  By pressing <Enter> the highlighted Code will be placed in the Enter Appointment screen.  At this point you may modify the duration of the appointment or accept the default duration.  Next fill in the customer information.  Then enter any notes that pertains to this appointment or customer.  The limit is 3 lines.  When finished press <DnPg> to accept the appointment and place it in the schedule.

To move an appointment place your second cursor on the appointment to be moved, then press the <Space Bar>.  At this point there are several options, you may move the cursor to another time the same day, select a different employee to perform the appointment, move the appointment to a different day using the navigation tools listed at the bottom of the screen or press <J> to select a day using the calendar feature of the program.  Once you have completed your selection, place the cursor on the date, at the time, and under the employee, press the <Space Bar> again and your appointment will be inserted at its new location.

After an appointment has been made, indicators can be placed on the appointment to show whether the customer will wait or has arrived.  To indicate that the customer/client is waiting press the <W> key, this will cause the appointment to blink.  To indicate the customer/client is here, press <C>,a'C'will appear next to the Code in the appointment block.  Additionally, an appointment can be printed by pressing <P>.  This is especially helpful if there were any notes entered pertaining to the appointment when it was made.

Changing duration of appointments is accomplished using the following exercise.  Place the second cursor on the appointment to be modified and press <Enter>.  This will display the Enter Appointment screen.  Using the <Tab> key to move foreword, <Shift+Tab> to move backward navigate to the duration catigory and make the changes required.  When finished press <DnPg> to save.

Maintaining your appointment calendar is necessary to achieve greater customer/client satisfaction while improving employee efficiency.  Recording appointments on your calendar at the time customers/clients either call in or walk in is essential to appointment management.  Moving appointments or deleting appointments in your calandar when you have been notified is equally important.  Don't procrastinate! Record, modify, move or delete appointments immediately!
