                                               _____________________

This file can be created by using EDIT in DOS . Or any other
TEXT editor . A separate program ( not included in the
shareware version ) can be used to create formats as in DBASE ,
      FOXPRO etc.

      AN EXAMPLE
Suppose a given record has the following fields:

FILLER field , blank field or skip field is useful in multifor-
mat equal record length files .This is shown by the field begin-
    ning with "S".
Format Characters must be CAPITALS .

HEADING LINE: The total characters should not exceed the

format line length. Take care to align the first characters of
headings with the letters 'A' , 'B' ,'Y' etc. This is not be
    done automatically.
A sample Heading Line : Note the beginning of the field is in
    CAPS.
    D-----I-----A---------------N---L---N----.--S-----------R-----E
    Date..Vchno.Item.DescriptionAcd.Dcd.Amount..Blank.......Rt.adj

The Format line must end with a CAPITAL "E" .

Up to 9 pairs of formats and headings can be specified, for
    multiformat files .

ENTRY OF THE FORMAT AND HEADING LINES

To enter formats SPF is provided . This uses the same
method as FOXBASE and dBase to create the format lines . All
help is provided in the program. Once the field list, type and
size is available formats can be prepared.

When using a text editor : Enter the name of the format . If
there is only a single pair of format and heading lines noth-
ing else needs to be entered on line but if there are more
pairs , say 3 , then 3 is entered as follows
    MASTER for single format.
    MASTER/3. for 3 formats.
If these format lines are to be chained then enter
    MASTER/3/CHAIN.
So for a file with a single format & heading pair the first line

will only contain the word MASTER .
Comments can be added if started with a '*' in the 1st column.

    1st line 1:*MASTER
Then ,enter the above format line,
    2nd line
    2:*D-----Y-----A-------------------N---L---N---.--S----------
    -----R-------E

PRESS <ENTER> and enter the heading line, it can be all blanks
      also.
    3:*
    3rd line
    3:*DATE..VCHNO.ITEM.DESCRIPTION....ACD.DCD.AMOUNT..
      BLANK........... PRESS <ENTER>

More formats can be entered as long as the same order is
followed. And as long as the actual number are mentioned after

                                                      page 7

    the formatname after typing a / .

      E.g as above MASTER/3 .
IMPORTANT: The order of entry must be.
      Format Name and PARAMETERS.
Then FIRST the FORMAT LINE and then
      the HEADING LINE.
Press Enter to leave line blank.
Only after the FORMAT FILE is created can actual data entry
    begin.

         Some Format examples :

    a) Single format
    PAYROLL
    A---------------N------------E
    Name............Salary.......
    b) Multi-format
    PAYROLL/3
    A---------------N------------E
    Name............Salary.......
    N-------A---------N----------E
    Pfno....Desc......Ledger.....
    A-----------------N----------E
    Deduction.........Amount......

                                                   MULTIFORMAT FILES
                                                   _________________

As noted earlier formats can be entered using either an Editor
or the utility SPF on the disk . SPF is most convenient to use
for beginners but lacks the flexibility of using an Editor.
Formats created with SPF in FILE.FMT can be edited with an
    editor.

    MULTIFORMAT
Operation of CIRCLE or CHAIN or MB words in the 1st line of the
format. The first line of a format has the following struc-
      ture.

NAME OF FORMAT/No. of formats/CIRCLE or CHAIN or MB.

    For Example:
     If
     Format Name : PAYROLL
     No. Of Formats : 3
Then the 1st line will be

     PAYROLL/3 <-- digits allowed here 1-9 only.No space.

Formats will not change AUTOMATICALLY. To change
press the ALT key with a top row numeric keys. (E.g ALT - 2
      etc).

If the formats are required to be presented in the sequence 1
then 2 and then 3 and again 1, automatically the line will be:

                                                      page 8

     PAYROLL/3/CIRCLE

If it is required that format 1 be presented 1st then format
2, and STAY on Format 3 the line will be:

     PAYROLL/3/CHAIN

The option /MB will duplicate from Format #3 (for example) only
to format #3 instead of from previous record, as in the de-
    fault case.

       SUMMARY

1.All formats are contained in a single file called FILE.FMT.
2.There are a minimum of 3 lines for any
      format.the 1st line contains :

5.If there are 3 formats in a MULTIFORMAT job then the total
no. of lines will be 7 . 1 Identifier line and 3 pairs of
      format and heading lines. ( 2 x 3 + 1 ).

The data drive ,password ,operator ,format name and data file
name are required. Just press <ENTER> in response . If it is a
new file, record numbering will begin from 1 .If not then from
the record following the last . There will be no change in
keyboard for alpha fields. For numeric fields the following keys
    will change as shown . 9 to 0,U to 1,I to 2,O to 3,J to 4,K to 5 L
to 6, M to 7, "," to 8,"." to 9 as already noted. To type

                                                       VERIFICATION
                                                       _____________

The data to be verified is re-entered or keyed in, as if it

                                                      page 9

was being entered during data-entry. The difference is that the
data is not recorded on disk but each character is checked with
the existing record . If corrections are to be made then the
record written to disk . For a mismatch then there is a beep
and an error is flashed. If the character in the record is
wrong then it can be corrected by pressing the correct key .
The keyboard is released by pressing the <ENTER> key .

The verification process is reliable and faster than visual
checking . Data after verification is found to have fewer errors
    than visual checking.

Reading files from a COBOL or BASIC Program

We show a DATA DIVISION entry in COBOL and a corresponding
FIELD STATEMENT in BASIC for the record defined
      on page 8.

             COBOL
                      01 VOUCHER-RECORD.
                      05 DATEX PICTURE X(6).
                      05 VOUCHER-NO PICTURE X(6).
                      05 ITEM-DESC PICTURE X(20).
                      05 ACNT-CODE PICTURE X(4).
                      05 DEPT-CODE PICTURE X(4).
                      05 AMOUNT PICTURE X(8).
                      05 FILLER PICTURE X(17).
                                            [One extra for the mark]
An equivalent FIELD STATEMENT in BASIC
      is :
      MICROSOFT BASIC

      FIELD #1,6 AS DATE$,6 AS VCH$,20 AS
      ITEM$,4 AS ACN$,4 AS DEP$,8 AS AMT$,19
      AS FILLER$
^ 3 bytes extra for the
      mark+CR/LF

END OF RECORD CHARACTERS: There are THREE bytes at the end of
each record which need to be taken care of in programming . Each
record contains a CR/LF code at the end plus a byte before the
    CR/LF bytes for format information.

                               MISCELLANEOUS

    1. The "X" field is used where page totals are given in docu-
ments. Pressing Ctrl-T will reset the total counter to 0.

    2. RECTIFY : In the EDIT MENU a new Option has been added
to correct AUTO INCREMENT and AUTO DUPLICATE fields. Explana-
       tions are on screen.

    3. A "Q" field for share application entry has been added . This
can contain application numbers which are entered twice , if
the 2nd field does not match the 1st , a beep is sounded and
       the keyboard is locked .

    4. Alt-Q will toggle a short tick at the beginning of each
       field .
This minimises the need to look at the screen.

                                                   ADVANCED FEATURES
                                                   _________________

      MACRO KEYS ( F2 - F12)
Up to 78 characters can be stored in a Macro key. The storing
to a Particular key F2 to F12 is done by pressing ALT - = , then
press the key or keys to which the characters will be stored.
The characters will be stored from the beginning of the field to
present position. Pressing the key again will recall the stored
    data.

      FOR EXAMPLE:

Assume the contents of a field are - "THE STATE BANK OF INDIA _ "
and the cursor is at the end then all characters from the
beginning of the field will be stored upto the cursor into one of
    the Macro Keys F2 to F12 . ( Whichever is pressed ).

Modifying ONE FORMAT character : When new jobs are undertaken
the format is required to be changed frequently . To aid this a
feature is provided so that a single character in the format
line can be changed . This is a powerful feature and should be
used sparingly. If desired an Alpha field can be changed to
Numeric and Vice Versa . To activate this feature Press Alt-F1.
This change is NOT permanent and does not change FILE.FMT.
